REGISTRATION

It is expected that ALL staff will attend conference. Registrations for the conference will be open on APRIL 19, 2017. Everyone needs to register, immediately to ensure we have time to process all accommodation and travel requirements before the event. The absolute latest date to register is JUNE 11.

PLEASE NOTE: This is an earlier closing date to previous years because of the need to get registrations processed, accommodation and travel booked to meet deadlines. Even if, for some unexpected reason you are not able to attend conference you still need to fill out the registration form to indicate this information.

CHECK-IN on the day at Sea World is at 2:00pm – please do not come earlier as you will not be registered and hotel rooms are not available until that time.

All costs for accommodation, meals and travel are covered in the registration fee.

There are no additional expenses other than your personal requirements such as movies, room service etc which must be paid when you check out of your room on Thursday. Please note that there will be no mini bars in your hotel room this year.

ACCOMMODATION

Accommodation is based on a twin share arrangement with one other person. Please indicate on the registration form the name of the person you wish to share with, otherwise we will allocate respectively.

DIETARY NEEDS

If you have any particular dietary requirements (eg vegetarian, lactose-intolerant, diabetic, gluten-free) due to medical conditions, please indicate this on your registration and we will make appropriate arrangements with the catering staff.

TRAVEL TO CONFERENCE

Staff will travel by car, bus or plane depending on where you live.

Please read carefully details relating to travel in the 2017  Attendance and Travel Policy section of this website and seek advice if you are unsure. In general …

CAR – you should form a car pool where at all possible to travel to conference. Please read carefully the 2017 Attendance and Travel Policy concerning claiming travel allowance as some conditions have changed and you need to ensure you have appropriate permissions to use private vehicles and claim travel allowance.

BUS – if a bus is provided in your region you should use the bus. If you choose to use a private vehicle, you may not be eligible to claim travel allowance as SU QLD is providing alternate transport for you. (Please read the 2017 Attendance and Travel Policy)

PLANE – if you live north of and including Gladstone, or in outback Queensland, flights will be arranged for you. You do not book these yourself. SU QLD will book these for you and contact you about the details.

Transport from Brisbane Airport

There will be limited bus transfers from Brisbane airport to Sea World.

ARRIVAL: SU QLD Buses will depart the airport on Monday Aug 7. Arrivals outside of these times will need to arrange their own transport from the airport.

DEPARTURE: SU QLD Buses will depart Sea World Resort on Thursday Aug 10 at 12:15pm back to Brisbane airport.

Other Transport

BUNDABERG REGION: A bus will collect staff from Bundaberg, Childers and Maryborough and bring directly to the Gold Coast and return.

TOOWOOMBA REGION: A bus will also run from Toowoomba to the Gold Coast and return  – please indicate on the registration form if you will be travelling on this bus. It will start in Toowoomba stop at Plainlands, Warrego Highway and Redbank Plains.

VENUE

Yet again you will need to bring the weight scales and stretchy pants to Sea World as we look forward to the great food they provide at each meal. Sea World Resort on the Gold Coast is our location for the 2017 SU QLD Staff Conference. You may be surprised to know that there is little cost difference between this venue and alternate camping facilities because of an existing arrangement through SU QLD.

Sea World Resort boasts a stunning Broadwater location with 400 rooms and suites and nearly 2000 sqm2 of conference space.  Check out the Sea World website for all the resort comforts that await you.    seaworldresort.com.au

Resort Facilities

Check in time is 2:00pm on any day. Room checkout time is 10:00am

Sea World Resort has all the facilities of a five star resort. There is no need to bring any linen or bedding. This is provided as are hairdryers, towels and irons.

Everyone needs to bring casual clothing, toiletries, bible, notebook and pen (or electronic version) money for coffee, etc.

Coin operated facilities for laundry are available onsite at 2 locations. All additional charges such as mini bar, phone, movies etc become your own personal responsibility and must be paid on checkout from the hotel. Failure to do so will mean you will be sent a bill to cover the additional costs.

All delegates are expected to stay at Sea World Resort for the duration of the conference. There is no option for offsite accommodation.

Optional: beach towel and togs.

An in-ground resort style pool, gym, sauna and spa are located on site.

Average temperatures for the Gold Coast in August are 10 – 20 degrees C.

Driving Directions

From Surfers Paradise beach, drive along the Gold Coast Highway north and follow the signs to Sea World Resort. From Southport cross the Southport Bridge, turn left and follows the signs. If you’re travelling from Brisbane, follow the signs to the Pacific Motorway and the Gold Coast, take the Smith Street exit and follow the signs.

BEACH GAMES FOR ALL

AN ACTIVITY FOR EVERYONE…

In 2019 the first scheduled World Beach Games will be held in San Diego, organised by the Association of National Olympic Committees. Beach games brings you to the hustle and bustle of the sea with all the fun and frolic of the beach. Australia’s first Beach Games was held in March 2017 at Lakes Entrance and games are scheduled over the next three years in every state – and in August we are providing you the opportunity to be involved in the inaugural SU QLD BEACH GAMES – we’re leading the pack and taking Queensland by storm.

It will be great to get out and do something different and this year we have activities for everyone, no matter what your energy level.

Just cross at the pedestrian crossing, take a 3 min gentle stroll through the shaded trees and just like Captain Cook you’ll see the spectacular Pacific Ocean stretch before your eyes. Get the sand between your toes, breathein the fresh salty air and you’ll feel like you’ve been relaxing for weeks.

There are two options to choose:

  • FOOTY COMP is still being run but on the beach this year – so the die hards will not miss out
  • BEACH GAMES will be fun for everyone and will include activities such as sand sculptures, giant beach ball comps, coits competition, and other fun simple games including the REGIONAL TUG OF WAR which will be a true test of regional strength.

and … every team needs a cheer squad to support and encourage them – a great opportunity to practice your best ‘chaplaincy’ skills and in between just relax on your towel and watch the surf roll in … you won’t want to miss this afternoon on the beach.

When you register you will be asked to select one of the two options on offer so that we have an idea of numbers involved. You’ll play in teams for your region so a lot is at stake!

RESOURCE EXPO / TEAM TIME

Wednesday, August 9 – 1:30:00pm – 5:15pm 

It’s Back !!! We are excited  that the RESOURCE EXPO will be held again this year as part of the SU Qld Chaplaincy Conference this year. In the past it has only been held every second year but we recognise that for chaplains living outside of Brisbane and for new chaplains it’s a long wait so we have invited some of our key organisations back to share their ministry with you. The expo will be held in the Sea World Resort Foyer and Melrose Room between 1:30pm and 5:15pm on Wednesday August 9. This time space will also be shared with TEAM TIME, so half of you will be allocated to approx. 2 hrs of TEAM TIME while the other half explore and connect with Resource Expo participants and then change over. This hopefully will mean it will not be as crowded at one time.

Make the most of this opportunity to connect and see what resources might be helpful to you in your particular situation.

HEALTH and WELLNESS at CONFERENCE

If you are unwell BEFORE you come to conference please go to your local doctor and get appropriate diagnosis and medication to cover you for your time at conference. If you have a cold you might want to consider bringing some hand sanitation wipes to help prevent sharing your cold with others. Ensure that you bring with you any regular medication that you take including any pain relief tablets.

Should you become ill at conference you should contact the first aid officer who will advise you to seek medical assistance by visiting a doctor or going to the local hospital. An ambulance is only called in an emergency, so please ensure you have all appropriate medical and medication history, medicare and health care cards etc as you are personally responsible for covering any costs.

Please indicate if you have any pre-exisiting medical conditions on your registration form, which would be important for medical staff to be aware of in the case of an emergency.

MOBILE PHONE APP

Again this year your conference program, general conference information, maps, and electives will all be available on a mobile app. Details for downloading it will be sent to you prior to the conference and if you are having difficulties, help will be available when you get on-site. We hope this will make it easier for you to keep all information in one easy to find place.

For those that may not have a ‘smart phone‘ or have reception difficulties, we will provide hard copy alternatives so you will still be fully informed as to what is happening.
